About The Role

FDM is a global business and technology consultancy seeking an Executive Assistant to work for our client within the public sector. This is initially a 4 month contract with the potential to extend and will be a hybrid role based in either Liverpool or Leeds. 

Our client is seeking an Executive Assistant to support to the Director of Transformation and Operational Services at a government client of ours, including a variety of administrative, financial, and governance processes.

Responsibilities: 
 
  • Act as the main point of contact for the Director of Transformation and Operational Services and provide diary management to ensure best use of time, resolving conflicting meeting requirements. Ensure relevant tasks are highlighted to the Director in regular KITS.
  • Act as secretariat to the monthly Senior Leadership Team (SLT) meeting and other meetings, including preparation, circulation of papers, minute taking, and chasing actions. Ability to produce comprehensive meeting packs, briefing material, and performance packs which may include sensitive information.
  • Book travel and accommodation with travel itineraries, directions, etc., and coordinate travel in line with the travel policies of a government client of ours. Ability to process expense claims in a timely manner for the Director.
  • Provide administrative support to the SLT and general assistance, undertaking other ad-hoc divisional and corporate administrative tasks required for the smooth running of OSD.
  • Lead on specific administrative functions for the Division.
  • Deal effectively and efficiently with those at senior level and oversee various Divisional working groups to ensure that all activity is delivered on time, effectively, and aligned with Divisional priorities and objectives.
  • Support the Division to ensure that it responds to all corporate requests in a timely fashion, maintaining a ‘Forward Look’ to enable proactive responses where appropriate.
  • Be confident, resilient, resourceful, and prepared to learn quickly to deliver exceptionally high standards. 

 

About You

  • Confident, resilient, resourceful, and able to work to exceptionally high standards at a fast pace (lead criterion).
  • Previous or similar experience in an EA / PA type role.
  • Proven experience of managing multiple stakeholders and tasks.
  • Effective interpersonal skills and ability to build strong working relationships.
  • Ability to work independently and collaboratively as part of a team.
  • Enthusiastic, organised individual who responds effectively to change and works well with unpredictable demands.
